What data do we collect? 
SoPHIA project collects the following data: 

  • Personal identification information provided by the eXo collaborative platform. 
    (See eXo Terms and Conditions: Appendix 5) or that you send when you fill any form issued by SoPHIA project 

  • Additional information related to the use of social media.

How do we collect your data? 
You directly provide the SoPHIA project with most of the data we collect. We collect data and process data when you: 

  • Register online for SoPHIA platform.

  • Voluntarily complete a stakeholders survey, fill any form issued by SoPHIA project, or provide feedback via email. 

  • Use or view our website via Google Analytics and its Cookies 

How will we use your data? 
The SoPHIA project collects your data so that we can: 

  • Develop and make accessible the tools planned in the SoPHIA work plan, including the eXo platform and a WebGIS. 

  • Email you with project information, newsletters and news of interest to you. 

  • Manage your Platform account. 

How do we store your data? 
The SoPHIA project securely stores your Platform data in the European servers.

The SoPHIA project securely stores any other personal data (collected when you voluntarily complete a stakeholders survey, fill any form issued by SoPHIA project, or provide feedback via email) on eXo’s servers: all data collected and processed by any member of the SoPHIA consortium is stored and shared across members of the SoPHIA consortium through a private group on the eXo Platform. 

The SoPHIA project will keep your Web and Platform data for two years and in any case not beyond the total duration of the project. When this time period has expired; we will delete your data.

What are your data protection rights? 
The SoPHIAproject would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following: 

  • The right to access – You have the right to request the SoPHIA project for copies of your personal data. We may charge you a small fee for this service. 

  • The right to rectification -You have the right to request that the SoPHIA project correct any information you believe is inaccurate. You also have the right to request the SoPHIA project to complete information you believe is incomplete. 

  • The right to erasure -You have the right to request that the SoPHIA project erase your personal data, under certain conditions. 

  • The right to restrict processing – You have the right to request that the SoPHIA project restrict the processing of your personal data, under certain conditions. 

  • The right to object to processing -You have the right to object to the SoPHIA project’s processing of your personal data, under certain conditions. 

  • The right to data portability – You have the right to request that the SoPHIA project transfer the data that we have collected to another organization, or directly to you, under certain conditions.
